Drop Ship Address Preparation

When providing drop ship addresses to Acme Bookbinding for delivery by UPS, please follow these instructions.

NO UPS deliveries to PO boxes. Please provide a separate workbook for PO Box customers. We will ship them via U.S. Post Office.

  1. Use your record keeping system’s facilities to extract the records of the customers you wish Acme to ship to.
  2. A: Records must be comma-delimited values (CSV) or Tab delimited. Each Record is a line in a text file. Each field within the record is separated from the next by a comma or Tab. Use 2 consecutive commas or Tabs to mark empty fields.

    Example:

    Hugh Amory,39 Marshal Street,Brookline,MA, 02456,US

    Fred W Anderson,University of Colorado Department of History 204 Hellems,Boulder,CO,80309-0234,US

    B: If possible, extract only the fields that correspond to the fields you use within the spreadsheet.

    Most Word processing and Database systems have built in means to do this, and you can always hand enter directly into a worksheet, or a text file formatted as in the example above.

    Many of you will already have your address lists in an Excel spreadsheet. In this case you need only copy and paste your columns into ours. One thing to be aware of however, is that if you have a single street address you divided into several columns each ROW must have its street address columns merged into 1 column so as to fit into our column named 'STREET' (see information about headers in section 2.A below).

    When the CSV or Tab delimited text file is ready, go to step 2.

  3. Import Data for Shipping
  4. A: Open a copy of a Template Excel file.

    The template file is just a worksheet with the following words placed as column headers in row 1

    CustID, Name, Attention, Street, City, State, Zip, Country

     

    Foreign countries may be placed on the same sheet as domestic addresses

    NOTE: UPS requires that states,Canadian provinces,and all countries be named using the international standard 2 letter abreviations ex CA = Canada if a country field and California if a state, JA = Japan...

    B: Choose FILE menu -> OPEN. Browse to the CSV or Tab delimited text file and click open.

    C: The Text Import Wizard will come up.

    D: Click NEXT.

    E: On the new screen, in the delimiter frame at the screen’s upper left, check TAB if you produced a Tab delimited file, or check COMMA and uncheck Tab if a CSV file

    F: Click NEXT; click FINISH

  5. Formatting
  6. A: Hit the Control and the "A" key, this selects all cells.

    B: Right mouse click within highlighted area chooses FORMAT CELLS. Choose text from list. Click OK.

    C: Remove as much extraneous punctuation as possible--typically periods and commas.

    With all cells still highlighted go to MENU edit -> replace in Find What. Type a comma and click REPLACE ALL,

    Do the same with a period.

    Do the same with any punctuation your system produces that you feel is irrelevant to a shipping address.

    D: Click the Letter column header for your zip codes to select all codes

    E: Right click, choose format -> Category: special ->Type: zip code + 4

    F: Bring up the already opened template sheet, click the gray #1 in the upper left to select the field header row, right click-> copy, return to the import sheet, click the gray #1, right click -> Insert Copied Cells.

  7. Delivery to Acme Bookbinding

A: Save your sheet by clicking File menu SAVE AS; in bottommost text box "Save as type:" select "CSV (comma delimited)(*.csv)" from the drop down list; click SAVE button.

B: Send Acme files on disk or email

For Email

1: Prepare an Email message to: shipping@acmebook.com. Put DROPSHIP in the subject line. In the message body, type Job number and any additional instructions.

2: Attach the Excel file(s). REMEMBER that PO box addresses must be placed into their own file.
